Flex Time Off Policy
Flex Time Off (FTO) Policy Update
We’re excited to share some important updates about our Flex Time Off (FTO) policy, designed to reward your continued service with increased flexibility and time off as you grow with the company.
Accrual of FTO
To ensure fairness and transparency, FTO will now accrue on a regular basis throughout the year. This means that you’ll steadily build your available time off as you work, allowing you to plan and use your FTO whenever it’s needed. Rest assured, this change ensures you will still have access to the full amount of FTO you’re entitled to annually, and it reflects our commitment to supporting your work-life balance.
Beginning on January 1, 2025, here’s how FTO accrual works based on your tenure:
- After 6 months: Begin accruing up to 20 hours of FTO.
- After 1 year: Accrue up to 40 hours of FTO.
- After 2 years: Accrue up to 80 hours of FTO.
- After 3 years and beyond: Accrue up to 120 hours of FTO annually.
For employees working fewer than 40 hours per week, FTO accrual will adjust proportionally based on average weekly hours to ensure equity.
Your Current Balances Carry Over
We want to reassure you that your prorated FTO balance from your Anniversary Date through December 31, 2024, will roll over into 2025. At the beginning of the year, you will also begin accruing the remaining balance of your annual FTO allocation.
This means you’ll have access to your rolled-over FTO balance, along with any additional hours you accrue throughout 2025. This approach ensures no time off is lost and provides you with greater flexibility to plan your time away.
Example:
- Anniversary Date: April 1, 2024
- FTO Grant: 120 hours
- FTO Usage as of December 31, 2024: 0 hours
As of January 1, 2025, 90 hours will be available (prorated portion of the individual’s original FTO grant), and they will continue to accrue FTO hours each pay period at an annual rate of 120 hours.
Rollover Details
While FTO must generally be used within the calendar year, employees have the option to roll over up to 40 hours of accrued FTO into the next year. This provides additional flexibility to carry over unused time while maintaining the opportunity to accrue new hours.
How to Use Your FTO
Starting January 1, 2025, FTO requests will be managed through our new platform, SuitePeople. Detailed instructions will be shared soon.
To help with planning, Flex Time Off must be scheduled 2 weeks in advance for vacations, personal days, or other needs. In emergencies or cases of illness, we’ll continue to accommodate short-notice requests where possible.
This updated policy ensures all employees receive the time off they deserve while maintaining the flexibility to use it in ways that work best for you. We’re committed to supporting your well-being and encourage you to reach out to HR with any questions or for help understanding your FTO balance.
Thank you for being an integral part of our team!
