Time Card Fraud Policy

Purpose: This Time Card Fraud Policy outlines the expectations and guidelines for accurate and honest time reporting by all employees by the MCON Group of Companies. Time card fraud undermines the integrity of our organization and erodes the trust between employees and management. This policy aims to ensure that timekeeping is accurate, transparent, and in compliance with applicable laws and regulations.

Scope: This policy applies to all employees, including full-time, part-time, temporary, and contract workers.

Policy:

  1. Accurate Time Reporting: Employees are required to accurately record and report their working hours, including start and end times, breaks, and meal periods. Time should be reported in accordance with the company’s designated timekeeping system.
  2. Personal Accountability: Each employee is responsible for maintaining their own time card records. Sharing, altering, or manipulating time cards (including clocking in or out for another employee) is strictly prohibited.
  3. Buddy Punching: Buddy punching, which involves clocking in or out on behalf of another employee, is considered time card fraud and is strictly prohibited.
  4. Overtime and Leave Reporting: Accurate reporting of overtime hours, flex time off (FTO), sick leave, and other leave types is essential. Falsely reporting overtime or leave is a violation of this policy.
  5. Unauthorized Hours: Employees should only report hours that have been genuinely worked. Reporting hours for work that was not performed or inflating hours worked is a violation of this policy.
  6. Immediate Reporting: Any errors or discrepancies in time reporting should be promptly reported to the supervisor or the designated HR representative. Deliberate concealment of inaccuracies will be subject to disciplinary action.

Consequences: Violations of this Time Card Fraud Policy will be taken seriously and may result in disciplinary actions, up to and including termination of employment. The severity of the consequences will depend on the nature and frequency of the violation.

Reporting Violations: Employees who suspect or witness time card fraud are encouraged to report the matter to their supervisor, HR department, or an anonymous reporting channel, if available. Reports will be investigated promptly and confidentially.

Amendment and Communication: This policy may be amended from time to time to reflect changes in company practices or legal requirements. Employees will be notified of any updates to the policy.
